How to Write a Thank You Letter After an Interview

Writing a thank you letter will remind the prospective employer that you are still available and that you are still interested in the position and company.  It shows you have good business etiquette and it can give you an edge over your competition.

Be prompt and get these letters out within 24-48 hours of the interview.  The sooner, the better!

TIPS:
  • If you interviewed with more than one person in the organization, write a separate thank you letter directly to each individual
  • It is acceptable to send a professional thank you card if you have neat handwriting or printing.  If you do not have neat handwriting or printing (or are not sure), send a typed thank you letter.
  • Follow the professional business letter format - use one space between each paragraph and do not indent paragraphs
  • Use the full, typed out date format (such as December 30, 2004); do not use 12/30/04
  • Use Mr. or Ms. when addressing the letter to the appropriate person
  • Check for content, grammar, spelling and typos before sending!
  • Do not forget to sign the letter.

Dear ___________:

FIRST PARAGRAPH: Thank the person for the interview and express appreciation for the consideration extended to you. Remind the person of the position for which you were interviewed, along with the date of the interview. Reaffirm your interest in the position and the company.

SECOND PARAGRAPH: Pick one or two things that were discussed during the interview to comment on (something about the company that you learned or found to be fascinating, the facility itself if you were given a tour, etc.). Remind him/her of your skills and qualifications for the position, how you are the perfect candidate, and why the person should give the position to you. Mention anything you have done since the interview that demonstrates your interest in the opening (i.e. additional research on the employer).

FINAL PARAGAPH: Close the letter. Thank the interviewer for his or her time and consideration. Close with a suggestion for further action; e.g., you will be available for additional interviews at their convenience. Let the person know how you can easily be reached.

Sincerely,
